D3 Architects Stage 4: Tendering

Last time we looked at the building regulations. This time it’s getting quotes, often called tendering.

What is needed?
Before you go out to tender you need to have selected contractors to price. You should look to ensure they are of comparable sizes as a firm with 100 staff has greater overheads compared to a man and a van. To price accurately they will need the following documents: a complete set of drawings showing the existing and proposed work, the site address, an indication of timescale or start date and any additional requirements that you might have; for instance, if you have a thatched cottage it might be a requirement of your insurance that naked flames are not allowed on site.

How do they price for things I don’t know?
It is quite common for there to be some unknowns such as final paint colours or floor finishes. Any items like these can be covered by carefully using a provisional sum. This is when a sum of money, deemed sufficient to cover the intended work is allowed for an item. If you spend less than the amount allowed you save, but if you spend more, then you will pay more. The amount stays in your control not the contractors. Your architect can advise you further.

How many quotes should I get?
We advise our clients to get three quotes. This way you end up with a top, middle and bottom figure or all three close together. Any more and it can start to get confusing and hard to select the successful contractor. It is always polite to let the unsuccessful contractors know as well.

How long should I allow?
The more time you give the more accurate your price. Now consider how difficult it can be to find a plumber etc. Your contractors will need to contact them as well as other trades. We advise 4-5 weeks. During this time they can raise questions with your architect and visit site to see what is involved and check the access for deliveries of materials.
